AggieService Update

Good news! The AggieService case management system is now live for all user groups.
Since the October GoLive, more than 3,500 human resources and payroll actions have been processed and closed in the new AggieService case management system.

It's proving to be a great tool and we hope you've found the quick reference guides and additional training resources helpful. If you would like additional customized training or weren’t able to attend a training session, please email us and let us know. We have trainers available and will be developing a new training schedule for 2017.  
And as always, if you have questions or suggestions, visit the project webpage or email us. The service team is working diligently to answer questions and improve the system through feedback.

ID Card Services Update

November 16, 2016

In March 2016, the Shared Services Center (SSC), began conducting ID card tasks for all Staff, Academics, Visiting Scholars, and Retirees.  In partnership with Transportation and Parking Services, the SSC opened an ID card office on campus at the TAPS building.  To increase efficiency and decrease the amount of time an employee had to wait in line for an ID card, the SSC also introduced an online scheduling system, called Schedule Once.  Schedule Once allows employees to book a 15-minute ID Card appointment and sends the employee an appointment confirmation email, appointment reminders, and a follow up survey after their appointment.

Since the SSC opened the ID card office at TAPS, we have held 1,115 appointments, and printed an additional 1,178 email requested ID cards.  Since August 1st, the Shared Services Center has completed 500 ID card appointments. SSC conducted a survey with a 33% (162) response rate and 92% of employees rating their interactions with the ID card office as good or excellent.

After receiving many request for expanded ID card offerings, the SSC has upgraded the ID card software and added a second ID card machine at their office located at 260 Cousteau Pl. Suite 150 in Davis.  The second ID Card machine will allow the SSC to offer walk-in ID card times, same-day ID card replacements, and mobile operations on campus. For example, events serviced will be the New Employee Welcome or the Retiree Resource Fair.

The walk-in hours for ID cards will be Mondays, Wednesdays, and Fridays from 8:30am to 12:00pm, and Tuesdays and Thursdays from 12:30pm to 4:30pm. These new services are open to the campus.

AggieService Update

Today was GoLive day for AggieService!

That means it’s time to start using the system officially. Any client from Group 1 should be using the new system.

As a service provider, you’ll be working in, and for Shared Services Center employees, you’ll also be working in ServiceNow for clients in Groups 2 through 4.

Dear Colleagues,

We're delighted to announce that we have confirmed the updated onboarding schedule for the AggieService case management system.

As mentioned in an earlier email, we identified several key issues that needed to be addressed before we go live with the system. Those fixes are now being made and the updated training and onboarding schedules have been confirmed and are online here.

Thank you again for your patience and support throughout this implementation process. We are confident that this new technology tool is going to bring a new level of quality service, and we look forward to sharing it with you soon.

Dear Colleagues,

We wanted to update you on the AggieService case management system and explain that we will be adjusting the schedule to accommodate feedback from the user acceptance testing.

During testing, we identified several key issues that need to be addressed before we go live with the system. This is not uncommon with technology implementations – especially ones being designed to integrate with existing complex and old systems.

Given the important feedback we received from user testing, we are slowing down the launch schedule in order to make adjustments that will deliver a better final product.

New Employee Onboarding Center

The Shared Services Center opened a New Employee Onboarding center located on the second floor of the Transportation Services (TAPS) building providing an “all-in-one” stop for new employee administrative tasks. SSC Satellite Office

January, 2016

The Shared Services Center (SSC) is relocating its satellite office from the Activities & Recreation Center (ARC) to 105 South Hall, effective Monday, February 1, 2016. This move is in partnership with the Internship and Career Center (ICC). The ARC location will close at noon on Friday, January 29, 2016, to allow time for the office equipment to be moved.

We want to express our sincere appreciation to the ARC staff for providing the inaugural location for the satellite office. The SSC utilized this space for over a year to help better meet the needs of our clients’ student workforce.

Moving forward, we are pleased to have the opportunity to move to our new satellite office at 105 South Hall, within the ICC department offices. Many thanks to Ami Tripp, Assistant Director - Internship and Career Center, for providing this new location. We are confident that our clients’ student workforce will continue to be well-served and supported. Additionally, the move to South Hall will open up expanded opportunities for SSC to collaborate and partner with ICC on student employment initiatives.

The office provides the following services:

  • Onboarding for students, by appointment only
  • Walk-ins for I-9 identification documents (students only)

The satellite office is currently not providing services for staff. Staff services are provided at the main SSC site at 260 Cousteau Place Suite 150, Davis.

Office hours are as follows:

Monday - Friday (excluding holidays) 9:00 am - 4:00 pm (closed from 12 pm - 1 pm)
